Terms of Service

These Terms of Service (“Terms”) govern your access to and use of DocChase, operated by SC Delirium Development SRL, a company registered in Romania (VAT: RO40159995) (“we,” “us,” or “our”). By creating an account or using the Service, you agree to these Terms.
1. The Service
DocChase is a document collection tool for bookkeeping firms. It allows bookkeepers (“Firm Users”) to send document requests to their clients (“Client Users”) via email, manage reminders, and track submission status through a dashboard.
2. Accounts
- You must provide accurate, complete information when creating an account.
- You are responsible for maintaining the security of your account credentials.
- You must notify us immediately if you suspect unauthorized access to your account.
- One person or legal entity may not maintain more than one free account.
3. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable law or regulation
- Send unsolicited communications (spam) through the Service
- Upload malicious files, viruses, or harmful code
- Attempt to gain unauthorized access to other users' accounts or data
- Interfere with or disrupt the Service or its infrastructure
- Reverse-engineer, decompile, or disassemble any part of the Service
- Use the Service to store or transmit content that infringes third-party rights
- Misrepresent your identity or affiliation when using the Service
We reserve the right to suspend or terminate accounts that violate these Terms.
4. Firm User Responsibilities
As a Firm User, you are responsible for:
- Ensuring you have a lawful basis (such as a client engagement agreement) to share your client's contact information with DocChase for the purpose of sending document requests and reminders
- The accuracy of client contact information you provide
- Complying with applicable data protection laws (including GDPR, if applicable) when using the Service to collect documents from your clients
- Managing and deleting client data when your engagement with a client ends
5. Client User Terms
Client Users access DocChase through unique, time-limited links sent by their bookkeeper. By uploading documents through the Service, Client Users agree that:
- Uploaded files will be accessible to the Firm User who initiated the request
- They have the right to upload the documents they submit
- They will not upload content that is unlawful, harmful, or infringing
6. Subscriptions and Payments
Pricing
DocChase offers paid subscription plans billed monthly. Current pricing is available at docchase.app/#pricing.
Free trial
Free trials do not require a credit card. At the end of a trial, you must subscribe to continue using the Service.
Billing
Payments are processed by Stripe. Subscriptions renew automatically each billing period. You may cancel at any time from your account settings. Cancellation takes effect at the end of the current billing period. We do not offer partial refunds for unused time.
Price changes
We may change pricing with 30 days' notice. Price changes do not affect your current billing period.
7. Data Ownership
Your data is yours. You retain all rights to the data you upload to or create within the Service.
- We do not claim ownership of your documents, client lists, templates, or any other content you provide.
- You grant us a limited license to store, process, and transmit your data solely to provide the Service.
- Upon account deletion, we will remove your data within 90 days (see our Privacy Policy).
8. Availability and Support
- We aim for high availability but do not guarantee uninterrupted access. The Service may be temporarily unavailable for maintenance, updates, or circumstances beyond our control.
- Support is available via email at support@docchase.app.
- We do not provide guaranteed response times on free or Solo plans.
9. Limitation of Liability
To the maximum extent permitted by law:
- The Service is provided “as is” and “as available” without warranties of any kind, express or implied.
- We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.
- Our total liability for any claim related to the Service is limited to the amount you paid us in the 12 months preceding the claim.
- We are not responsible for the content of documents uploaded by Client Users or for the accuracy of information provided by Firm Users.
10. Indemnification
You agree to indemnify and hold harmless SC Delirium Development SRL from any claims, damages, or expenses (including reasonable legal fees) arising from your use of the Service, your violation of these Terms, or your violation of any third-party rights.
11. Termination
- You may close your account at any time from your account settings or by contacting support.
- We may suspend or terminate your account if you violate these Terms, with notice where practicable.
- Upon termination, your right to use the Service ceases immediately. Data deletion follows the timeline in our Privacy Policy.
12. Governing Law
These Terms are governed by the laws of Romania and, where applicable, the laws of the European Union. Any disputes arising from these Terms or the Service will be resolved by the competent courts of Romania, except where mandatory consumer protection laws of your jurisdiction require otherwise.
13. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes by email or by posting a notice on the Service at least 30 days before they take effect. Continued use after the effective date constitutes acceptance.
